Making Membership Management Easy

When it comes to membership data management, having CMS that makes things easy is a plus. As the owner of Equilibrium Fitness in New Buffalo, Michigan, that’s what Katie Maroney was looking for in a management system — ease of use.

With this in mind, Maroney landed on EZFacility. Its management software helps Maroney manage and track member data in a number of ways. “I’m able to filter my members into different categories, such as members, prospects or personal training clients,” she explained. “I can then export these categories into various reports, and because it’s Internet based, I can pull up my account remotely on my phone or computer when I’m away from the gym.”

Maroney looks at a number of features in EZFacility’s member management portal, including membership types, outstanding balances, birthdays and personal training data. “Everything is accessible from my account and can be exported to excel,” she said.

In addition, EZFacility’s software allows club owners to freeze, suspend or cancel memberships, in addition to running detailed membership, demographic, financial and accounts receivable reports. Plus, it gives members the option of either credit card or direct bank billing. “I was surprised as to how thorough it is from a data entry standpoint, to the filtered exporting capabilities,” said Maroney. “It does take a bit of time to enter in each member’s data, but once that is completed it is fairly easy to navigate through each member’s profile tabs.”

Through these tabs, Maroney has the capability of tracking correspondence between members and staff, including calls, e-mail and texts.

Members also have access to managing their accounts through EZFacility’s software, which makes Maroney’s job even easier. “Each member has the ability to register online for classes and pay unpaid invoices through a self-service page that is unique to their accounts,” Maroney explained. “This feature helps a great deal in terms of processing payments before classes so that myself and my instructors do not have to delay our classes due to taking payments.”

As part of the member management portal, members can also download the MemberMe mobile app, which allows clients to book classes, view facility information and more, all from their smartphones.

Overall, Maroney is happy she chose EZFacility to help with member management, due to the countless reports, data and management capabilities the software provides. “The various reports have also helped me for taxes, payroll and keeping up-to-date and accurate financial books,” she said. “All in all, I’m glad that I chose EZFacility as my gym’s membership and POS system.”
